1.1. These Terms and Conditions apply to the purchase of Goods and Services by you (the “Customer,” whether you are the purchaser, a participant or the recipient of a gifted service).
1.2. We are Warm Voices (the “Supplier,” “Us,” or “We”).
1.3. By ordering our Goods and Services, you agree to be bound by these Terms and Conditions. Customers must be at least 18 years old to enter into this contract.

  1. Interpretation

2.1. “Audio” refers to the final recorded product created by Warm Voices using the Customer’s input.
2.2. “Content” refers to the words, text, and audio materials supplied by the Customer or created by Warm Voices.
2.3. “Contract” refers to this legally binding agreement between You and Us for the provision of Goods and Services.
2.4. “Website” refers to our website, www.warmvoices.co.uk, or any other related domains.

  1. Goods and Services

3.1. The nature of the Goods and Services you have ordered will be outlined in an email confirmation.
3.2. If you request significant changes after work has begun, we will provide a quote for any additional work required.
3.3. We will incorporate your clearly articulated changes to the draft audio within the first round of revisions. Further revisions may incur additional charges, as quoted by us.
3.4. We aim to eliminate errors in the final product but cannot guarantee a completely error-free outcome.
3.5. To ensure timely progress, you must respond to requests for approvals or additional input within 30 days unless agreed otherwise. If no response is received within 60 days, we reserve the right to close the project without refund.
3.6. You are responsible for providing all necessary materials if required (e.g., documents or photographs) and approving work stages as requested.
3.7. If you are dissatisfied at any stage, please inform us immediately, and we will make reasonable efforts to address valid concerns.
3.8. Goods and Services offered on our Website are subject to availability and may change over time.

5.4. Neither party may publish the recordings without the explicit written permission of the other.

  1. Basis of Sale

6.1. Orders must be placed through the process outlined on our Website.
6.2. A Contract is formed once you receive an order confirmation email. It is your responsibility to review and ensure the details are correct.
6.3. Quotations are valid for 14 days unless explicitly withdrawn earlier.
6.4. Changes to the Contract, including scope or fees, must be agreed upon in writing by both parties.

  1. Price and Payment

7.1. Payment in full is required upfront before we begin any work.
7.2. Additional services or upgrades must also be paid for in advance.

  1. Risk and Ownership

8.1. Risk of damage to or loss of Goods passes to you upon delivery.
8.2. Ownership and copyright of the final product remain with Warm Voices until full payment is received.

  1. Exclusions and Limitations of Liability

9.1. Warm Voices is not liable for any indirect, economic, or consequential losses arising from the project.
9.2. Our total liability for any claims will not exceed the total fees paid for the order.

  1. Cancellations and Refunds

10.1. Orders may be cancelled by emailing [email protected] with the subject line “Order Cancellation.”
10.2. If cancelled at least 72 hours before the first recording session, a full refund will be provided, minus any costs already incurred.
10.3. Due to the personalised nature of our services, refunds are not available once work has commenced.
10.4. Warm Voices reserves the right to deduct incurred costs from any refund.

  1. Governing Law and Jurisdiction

11.1. These Terms and Conditions are governed by the laws of England and Wales.
11.2. Disputes will be subject to the jurisdiction of the courts of England and Wales.

  1. Service Accuracy
    Warm Voices provides a personalised service based on the information provided by clients. We do not guarantee the accuracy of historical or anecdotal content recorded during sessions.
  2. Third-Party Tools
    We may use third-party tools (e.g., editing software) to deliver our services. Warm Voices is not responsible for technical errors caused by such tools.
  3. Audio Quality
    While we strive to deliver the highest quality recordings, variations in audio quality may occur due to factors beyond our control (e.g., participant equipment or environment).
